All the\u00a0Options,\u00a0Templates, and\u00a0Tools\u00a0settings apply equally to all Projects, but they can be different in each Windows User Account.<\/p>\n<p><strong>They are based on very old versions of Ancestral Sources and Family Historian, so do not include some of the features that are now available such as templated sources and rich-text. Videos that refer to those new features are available on the <a href=\"https:\/\/www.fhug.org.uk\/kb\/kb-article\/ancestral-sources-videos\/\" target=\"_blank\" rel=\"noopener\">Ancestral Sources Videos<\/a> page. However, the fundamental concepts are still reasonably relevant.<\/strong><\/p>\n<p>The options highlighted with ** are important to get correct from the outset, otherwise your GEDCOM database will need a great deal of subsequent editing.<\/p>\n<p>Remember to use\u00a0Help\u00a0to obtain extra advice, and hover the mouse over buttons and boxes to obtain a brief\u00a0Tooltip.<\/p>\n<p>Throughout the tutorials the notation \u2018Option1\u00a0&gt;\u00a0Option2\u00a0&gt;\u00a0Option3\u00a0button\u2019 means select menubar\u00a0Option1, then\u00a0Option2, and finally click the\u00a0Option3\u00a0button.<\/p>\n<p>It is feasible to copy &amp; paste many of the data values from the tutorial scripts directly into Ancestral Sources input forms.<\/p>\n<p>Before you start the tutorial, please <a href=\"https:\/\/fhug.org.uk\/kb\/kb-article\/ancestral-sources-tutorial-configure-initial-settings\/\">Configure Initial Settings<\/a>.<\/p>\n<div class=\"lightweight-accordion\"><details><summary class=\"lightweight-accordion-title\"><h3>General Settings<\/h3><\/summary><div class=\"lightweight-accordion-body\"><p>Most of these options customise the user interface, but a few adjust global interactions with\u00a0Family Historian. They should not be changed, unless you need to move them to another disk drive, or into a\u00a0<a href=\"https:\/\/fhug.org.uk\/kb\/link\/dropbox-3\/\">Dropbox\u00a0<\/a>folder, or similar\u00a0<a href=\"https:\/\/fhug.org.uk\/kb\/link-type\/synchronise-and-backup-tools\/\">Synchronisation &amp; Backup<\/a>\u00a0folder. Use the\u00a0Help\u00a0button to obtain more details.<\/p>\n<p>Every time changes are saved to the GEDCOM file a backup copy is saved, and by default only the most recent\u00a010\u00a0backups are retained. This number can be changed, and if set to\u00a00\u00a0then all backups are retained.<\/p>\n<h4>Individual Information<\/h4>\n<p>Usually the [Record ID] is used to identify individuals, but ticking\u00a0Use Custom IDs\u00a0will substitute the &lt;Custom ID&gt; if it exists, and allow it to be specified when adding new Individuals.<\/p>\n<h4>ID in Individuals List<\/h4>\n<p>These options specify how individuals are identified in lists on the main screen. You can opt to\u00a0Show birth date,\u00a0Show ID, or\u00a0Show birth date and ID. If a\u00a0Birth Date\u00a0does not exist, then the\u00a0ID\u00a0will be substituted.<\/p>\n<h4>Date Estimates<\/h4>\n<p>This determines how, for example, a Birth Year is estimated from a known Date and Age.<\/p>\n<p>Select\u00a0Simple dates\u00a0and the\u00a0Age\u00a0is simply subtracted from the\u00a0Date Year.<br \/>\ne.g. A person who is\u00a010\u00a0years of age in\u00a0February 1880\u00a0is estimated to be born in\u00a01870.<\/p>\n<p>Select\u00a0Smart dates\u00a0and if the\u00a0Date\u00a0falls before the end of\u00a0June, then\u00a01\u00a0extra year is subtracted.<br \/>\ne.g. A person who is\u00a010\u00a0years of age in\u00a0February 1880\u00a0is estimated to be born in\u00a01869, which is more probable.<\/p>\n<h4>Source Identification<\/h4>\n<p>This specifies how to recognise sources in the GEDCOM file as being a particular Source Type. This is principally used with Recording Method 2 as discussed in Census Settings and Baptism Settings and Marriage Settings below, but also when you <a href=\"https:\/\/fhug.org.uk\/kb\/kb-article\/ancestral-sources-tutorial-working-with-tools\/\">Add Images to Sources<\/a> \u00a0Most users should find that the default filter settings do not need to be changed.<\/p>\n<h5>Filter Demonstration<\/h5>\n<p>Close the Options window by clicking Cancel, use View &gt; Add Images to Existing Sources, then from the Type: drop-down list select Census, and note the Source: list is empty.<\/p>\n<p>Use\u00a0Tools\u00a0&gt;\u00a0Options\u00a0and from the\u00a0Source type:\u00a0list select\u00a0Census, and ensure\u00a0Source title includes:\u00a0is selected, then enter the letter\u00a0a\u00a0in the box and click\u00a0Save. This adds an extra filter that will recognise any\u00a0Source Record\u00a0with an\u00a0a\u00a0in its\u00a0Title\u00a0as being a\u00a0Census.<\/p>\n<p>Close the\u00a0Options\u00a0window by clicking\u00a0OK, use\u00a0View\u00a0&gt;\u00a0Add Images to Existing Sources, then from the\u00a0Type:\u00a0drop-down list select\u00a0Census\u00a0again, and note the\u00a0Source:\u00a0list now includes several\u00a0Source Records\u00a0all with\u00a0a\u00a0in their\u00a0Title.<\/p>\n<h4>Reset Button<\/h4>\n<p>Click the Reset\u2026 button and from the Choose the settings to be reset: list select Reset census settings only and click OK. Notice that the Census filter list modified above has been reset.<\/p>\n<h4>Short Date Format<\/h4>\n<p>When entering a date such as 5\/10\/1800 it could be interpreted as 5th October 1800 with Use day\/month\/year format or 10th May 1800 with Use month\/day\/year format. The default is automatically determined from the Windows control panel settings. However, you can choose to change this if necessary.<\/p>\n<h4>Birth Events<\/h4>\n<p>Most users prefer a single Birth Event per individual, linked to multiple Citations and Sources.<\/p>\n<p>If you prefer to record multiple\u00a0Birth Events\u00a0where different\u00a0Sources\u00a0give conflicting information, then tick\u00a0Offer to create multiple births for individuals.<\/p>\n<p>However, you should also tick\u00a0\u2026even if existing birth includes place and date\u00a0on the\u00a0Census settings\u00a0page, to ensure the multiple births option is presented.<\/p>\n<p>Then when the data is saved, the\u00a0Birth Event Suggestions\u00a0will include the option to\u00a0Create an additional birth event with date and place suggested.<\/p>\n<h4>Other Options<\/h4>\n<p>Version 2.0 introduced the ability to create Repository links, but this can be disabled by clearing the Allow repository use tick option.<\/p>\n<p>The\u00a0Use multi-line address\u00a0option enables the multi-line edit button even for single line Addresses, but is not recommended.<\/p>\n<p>Clear the\u00a0Associated Individuals \u2013 separate line in local notes\u00a0option to list such Individuals on one line separated by commas.<\/p>\n<p>The\u00a0Same-sex relationships\u00a0option relaxes the rule that partners, and fathers &amp; mothers are of opposite gender.<br \/>\n(Same-sex relationships are\u00a0not\u00a0supported by\u00a0Family Historian Version 3\u00a0or earlier).<\/p>\n<p>Transcriber defines the name of the person entering data and is only relevant to the <a href=\"https:\/\/fhug.org.uk\/kb\/kb-article\/ancestral-sources-tutorial-working-with-templates\/\">{SYSTEM.TRANSCRIBER}<\/a>\u00a0auto-text keyword.<\/p>\n<h4>Whole Person and Name Citations<\/h4>\n<h4>Whole Person Citations<\/h4>\n<p>Whole person citations link the whole Individual Record to an associated Source Record.<\/p>\n<p>These citations may be created just\u00a0for new individuals\u00a0being added, or\u00a0for all individuals\u00a0involved in the data entry.<\/p>\n<h4>Name Field Citations<\/h4>\n<p>Name citations link just the Individual Name field to an associated Source Record.<\/p>\n<p>These citations may be created just\u00a0for new individuals and name changes\u00a0being added, or\u00a0for all individuals involved in the entry.<\/p>\n<p>By default\u00a0Ancestral Sources\u00a0only creates\u00a0Individual Name\u00a0field citations\u00a0for new individuals and name changes.<\/p>\n<\/div><\/details><\/div>\n<div class=\"lightweight-accordion\"><details><summary class=\"lightweight-accordion-title\"><h3>**Census Settings<\/h3><\/summary><div class=\"lightweight-accordion-body\"><p>Newcomers in particular are recommended to work with the default installation settings, until sufficient experience is gained to make an informed choice. However, you need to pay particular attention when choosing your source recording method (Method 1 for &#8216;source splitters&#8217; and Method 2 for &#8216;source lumpers&#8217; ) so please see <a href=\"https:\/\/fhug.org.uk\/kb\/kb-article\/working-with-sources\/\">Working with Sources and Citations<\/a> for advice before continuing, if you have not already done so. Then every\u00a0Fact\u00a0gleaned from this source cites the\u00a0Source Record. So every\u00a0Census,\u00a0Birth,\u00a0Occupation,\u00a0Residence, and new\u00a0Name\u00a0for each person in the Census is linked to the one source via a\u00a0Citation\u00a0that often contains little information apart from an\u00a0Entry Date\u00a0and\u00a0Assessment. This method will result in many sources, but each transcript and associated notes and images are all recorded in one place, which makes corrections and updates easy to perform.<\/p>\n<p>Method 2\u00a0usually has one\u00a0Source Record\u00a0for an entire Census year such as \u201cCensus UK 1851\u201d, and every\u00a0Fact\u00a0gleaned from this Census year cites the\u00a0Source Record. So every\u00a0Census,\u00a0Birth,\u00a0Occupation,\u00a0Residence, and new\u00a0Name\u00a0for each person in that Census year is linked to the same source via a\u00a0Citation\u00a0with an\u00a0Entry Date\u00a0and\u00a0Assessment. The\u00a0Citation\u00a0may use its\u00a0Text From Source\u00a0field to hold a household Census transcript, but this results in duplicate copies of the same data for all the\u00a0Facts\u00a0gleaned from that household Census. Alternatively, the transcript may be placed in a linked\u00a0Note\u00a0record, which avoids the duplication.\u00a0Multimedia\u00a0links to any Census Form images may be attached either to each\u00a0Citation\u00a0or each\u00a0Fact. This method will result in very few\u00a0Source Records\u00a0and is a better choice if transcriptions and image links are not usually required.<\/p>\n<h4>Column Suggestions<\/h4>\n<p>When you\u00a0<a href=\"https:\/\/fhug.org.uk\/kb\/kb-article\/ancestral-sources-tutorial-enter-census-facts\/\">Populate the Census Grid<\/a>\u00a0on the main screen, there are several columns where\u00a0Ancestral Sources\u00a0can automatically enter an existing value derived from your GEDCOM data. For example, if a person has a\u00a0Birth Event\u00a0then the\u00a0Date\u00a0field can be used to calculate their\u00a0Age.<\/p>\n<p>The tick options in this section let you to choose the columns for which these suggested values may be entered. If necessary you may manually change these values to match the actual Census data.<\/p>\n<h4>When Saving Census Entries<\/h4>\n<p>It is all too easy to forget to complete all the details before you\u00a0Save to Family Historian\u00a0and these options let you choose which warnings you prefer.<\/p>\n<p>There is also an\u00a0Offer to retain settings\u00a0option that allows data entered to be carried forward to a subsequent entry.<\/p>\n<h4>Birth Facts<\/h4>\n<p>When you <a href=\"https:\/\/fhug.org.uk\/kb\/kb-article\/ancestral-sources-tutorial-enter-census-facts\/\">Save to Family Historian, <\/a>\u00a0Ancestral Sources can offer Birth Event suggestions where better Place or Date details are available from the Census.<\/p>\n<p>These suggestions are enabled by ticking the\u00a0Offer to create birth facts\u2026\u00a0option, and can be further enabled\u00a0\u2026even if existing birth includes place and date.<\/p>\n<p>In the\u00a0UK 1841 Census\u00a0ages over\u00a015\u00a0were usually rounded down to the nearest multiple of\u00a05, so\u00a0between dates\u00a0is a better suggestion for the\u00a0Birth Date\u00a0in such cases, and this option can be enabled here.<\/p>\n<h4>Occupation Facts<\/h4>\n<p>Ancestral Sources\u00a0automatically creates an\u00a0Occupation Fact\u00a0for each person with an entry in the\u00a0Occupation\u00a0column of the Census.<\/p>\n<p>The\u00a0Address\u00a0field is never filled in, because the Census address is unlikely to also be the work-place address, but the work-place is probably nearby, so the\u00a0Record census place in occupation\u00a0option allows the Census\u00a0Place\u00a0to be recorded as the Occupation\u00a0Place\u00a0too.<\/p>\n<p>There is also the option to\u00a0Record individual age in occupation, although this is not usually considered relevant to the\u00a0Occupation Fact.<\/p>\n<p>Children often have\u00a0Scholar\u00a0entered on the Census as their occupation, and the\u00a0Record scholar as occupation\u00a0option allows an\u00a0Occupation Fact\u00a0to be created in this case.<\/p>\n<h4>**Sources<\/h4>\n<p>The\u00a0Source Type\u00a0option allows the specified text, such as\u00a0Census, to be entered in the\u00a0Type\u00a0field of the\u00a0Source Record. If this field is altered, it is easy in\u00a0Family Historian\u00a0to use\u00a0Tools\u00a0&gt;\u00a0Work with Data\u00a0&gt;\u00a0Source Types\u00a0&gt;\u00a0Replace with\u00a0and change all existing\u00a0Source Records\u00a0to match.<\/p>\n<p>The\u00a0Citation\u00a0has an\u00a0Assessment\u00a0field with values such as\u00a0Primary evidence\u00a0and\u00a0Secondary evidence, which can be automatically entered by selecting the\u00a0Citation Certainty\u00a0option. It is popular to tick this option and choose\u00a0Primary evidence\u00a0to indicate the official first-hand nature of a national Census.<\/p>\n<p>The\u00a0Citation\u00a0also has an\u00a0Entry Date\u00a0field, and the\u00a0Use Citation Entry Date\u00a0option allows the\u00a0Census Date\u00a0to be automatically entered. It also allows\u00a0Today\u2019s Date\u00a0to be entered, but is not the intended use in the\u00a0GEDCOM\u00a0standard.<\/p>\n<p>Sometimes the start of the Census reference is known. For example, the\u00a0UK 1851 Census\u00a0always starts its reference with\u00a0HO107. The\u00a0Automatically start census reference\u00a0option allows this value to be entered automatically in the\u00a0Ref ID\u00a0field on the main screen.<\/p>\n<h4>Census Information Record<\/h4>\n<p>Usually the Census information is recorded in a\u00a0Census Fact, but some users prefer to use a\u00a0Residence Fact, or even both Facts, and this can be selected here.<\/p>\n<h4>**Grid Column Seperator<\/h4>\n<p>The Census Grid columns can be automatically entered into the main screen Text field as a transcript of the Census. This section allows the column separator character(s) to be chosen. See the <a href=\"https:\/\/fhug.org.uk\/kb\/kb-article\/ancestral-sources-tutorial-enter-census-facts\/\">Edit Auto Text and Note<\/a> tutorial for examples of using these options. The Other box allows {TAB} to be entered to represent a tab character.<\/p>\n<p>There are pros and cons for each alternative, and the how to\u00a0<a href=\"https:\/\/fhug.org.uk\/kb\/kb-article\/tabulate-multiline-text-in-records-and-reports\/\">Tabulate Multiline Text in Records and Reports<\/a>\u00a0guide offers some workable solutions.<\/p>\n<p>The\u00a0Blank line after titles\u00a0option allows a blank line to be inserted below the column headings.<\/p>\n<p>The\u00a0Quotes around elements\u00a0option places inverted commas (\u201c) around the data in each cell to make it compatible with the popular spreadsheet\u00a0Comma Separated Value (CSV)\u00a0format. In particular it\u00a0hides\u00a0the commas often found in the\u00a0Where Born\u00a0column to specify\u00a0Place\u00a0information.<\/p>\n<h4>Facts to Create<\/h4>\n<p>Some\u00a0Census Grids\u00a0have columns that could be recorded in\u00a0Physical Description,\u00a0Nationality, or\u00a0Religion\u00a0facts, and these options enable or disable such facts being created.<\/p>\n<h4>Generic Columns<\/h4>\n<p>Some\u00a0Census Grid\u00a0columns have the option to record their data in the\u00a0Census Fact\u00a0or\u00a0Occupation Fact\u00a0local\u00a0Note\u00a0field.<\/p>\n<p>The options in this section allow the column\u00a0Titles\u00a0to be included in the\u00a0Note\u00a0field, allow notes to be separated by\u00a0Newline\u00a0or\u00a0Comma, and whether to enclose the notes in double square brackets ([[ ]]) to make them\u00a0Private.<\/p>\n<h4>**Census Image Title Template<\/h4>\n<p>This field defines one of the\u00a0Title\u00a0options available when you use\u00a0Add Multimedia Image. It allows template keywords to be used, which are described in the tutorial\u00a0Working With Templates.<\/p>\n<p>It is advisable to choose a consistent naming convention for\u00a0Multimedia\u00a0that assists in locating records and images, both in the\u00a0Multimedia Records\u00a0window of\u00a0Family Historian, and in the\u00a0File Name\u00a0details of\u00a0Windows Explorer.
