Why did you receive an email from us?
If you received a mailing from us,
your email address is either listed with us as someone who has expressly shared this address for the purpose of receiving information in the future (“opt-in”), or you have registered or purchased or otherwise have an existing relationship with us. We respect your time and attention by controlling the frequency of our mailings.
Sharing and Usage
We will never share, sell, or rent individual personal information with anyone without your advance permission or unless ordered by a court of law. Information submitted to us is only available to employees managing this information for purposes of contacting you or sending you emails based on your request for information and to contracted service providers for purposes of providing services relating to our communications with you.
How can you stop receiving email from us?
Each email sent contains an easy, automated way for you to cease receiving email from us, or to change your expressed interests. If you wish to do this, simply follow the instructions at the end of any email.
If you have received unwanted, unsolicited email sent via this system or purporting to be sent via this system, please forward a copy of that email with your comments to mailto:firstname.lastname@example.org for review.
Forum Subscriptions and Admin Messages
When you post to the forums, you can subscribe to get an email when a new post is added. These can be turned off globally in the User Control Panel – Manage Subscriptions
Also in the user control panel in Board Preferences you can control if site Admins and other users can send you emails.
Emails are sent out via Amazon ses, to ensure the best delivery options possible.
The data controller for the FHUG site is the webmaster Jane Taubman is the originator and administrator of the Family Historian User Group. She has been using Family Historian since Version 2 and researching her tree on and off since she was 19. Personal Data collected by consent for the FHUG site to operate includes
- User Name (may or may not be a users real name)
- E-mail address
- Users time zone
- Users Country
- Family Historian Version
- Password, this is stored in encrypted form and has a one way encrypt and is not recoverable in original format.
- Additional optional fields can also be entered by the user in the Control Panel.
- IP address (for registration and for each post)
- Posts to the Forums, made by the user
On completion of the registration form (items 1-4), a consent email will be sent to the user to confirm consent to join the forum. Failure to respond to the email within 30 days will result in the un-activated user account being deleted.
Removal of an Account
If you require your user account deleted. Please email email@example.com, with both your account email and username, we will then send you a confirmation email asking you to confirm you would like your account deleted, on confirmation your account and optionally all your posts will be deleted.
Review of User Data
Users can easily review all the data held on them using the User Control Panel within the site and can be edited by the user as required. If this data is required in electronic format, CSV exports of the User Record and the Posts can be provided in the format held by PHPBB.
3rd Party Services
We use the above service to monitor for spammers. When a registration or post (for the first 5 posts only ) is completed they receive the following information: The User ID, IP address and post content of the submitter, this is used to check against a spammers database. This information retained by the CleanTalk servers for 7 days, to allow spammers missed by the system to be marked and then all information is discarded. The Amazon Simple email service is used to send emails from the forum. So your email address will pass through their servers, as it would if we were to use any other mail delivery method. Please see Amazon GDPR Center for more information.

The Algolia search tool is used to index the Posts from the Forum, this includes the User ID who posted the post, but no other personal information.
Location of Data
In addition to backups held by Krystal, daily backups are made to the Webmasters computer and held for 30 days.
