When I view all media, each icon should have a photograph in it. In my case, many of the icons are blank, with a large X through it. In most cases the correct photograph is also there. Tatewise, you are correct--I had conflated the plug in with the identification of media records with 0 links. Mike, sorry, I have been offline, for a while.
For the keys, I copied the Word document in the original file and pasted into the backup file.
I hope that is not a problem.
FYI I put the backup into a WD My Book Essential.

Thank you so much. I'm now all backed up. For some reason, the folder with the keys came out in a format which couldn't be read but I did a quick little workaround for that. I hope for no more crashes but, if they come, I am now prepared. Your idea of a regular backup, via plugin, is a very good one...
